Item Creation



Item creation involves the following steps:
Create Item
Create Variation
Add Inventory

Create Item - Press Create Item button. The Create Item pop-up opens, fill in the details and save.





Create Variation - Press Add Variation button.



The variation screens opens, fill the details and save.



Name: Coca Cola 250ML (Unique name for the variation).
Food Type: Veg or Non Veg or Egg. Select from the dropdown.
Type: To indicate the type of item. Select from the dropdown:
Sale - To indicate the item is of type sale.
Combo - To indicate the item is a combo. Refer Combo for more information.
Ingredient - To indicate the item is an ingredient (Will not be displayed in POS). Refer Ingredient for more information.
Modifier - To indicate the item is an add-on or extra (Will be displayed under Items). Refer Modifier for more information.

Note: Ingredient and Modifier is available only for Restaurant and QSR.
Image: Upload the image for the item variation.
Description: Have a Coke and a Smile (Description of the item).
Unit Of Measurement: Select UOM from the dropdown:
Count: Item sold in numbers. Example one packet, one roll, one piece, etc.
Weight (kg): Item sold in Grams and Kilograms. Example 500gms, 1kg, etc.
Volume (L): Item sold in Liters and Milliliters. Example 500ml, 1ltr, etc.
Name Alternate Language: Variation name in other language, which is printed on the receipt and also displayed in the online store.
SKU: Stock Keeping Unit (SKU) is an unique identifier of an item. It is composed of an alphanumeric combination of eight-or-so characters. The characters are a code that the price, product details, and the manufacturer.
Barcode: Barcode of an item.
HSN: HSN code of an item.
Alternate Code: Alternate code is keyboard shortcut of the item variation. Alternate code is unique for an item and it cannot be the same as SKU of the same or other items. Should contain a minimum of one digit, maximum of n digits. Similar to keyboard shortcut to identify the item. Type the code and press enter in the POS to add this item in the cart.
Minimum Price: Minimum price of the item below which the item cannot be sold. Price of one unit / piece / kilogram / liter.
Maximum Price: Maximum price of the item above which the item cannot be sold. Price of one unit / piece / kilogram / liter.
Enable Weighing Scale: To enable the weighing scale calibration for an item. During billing the price will be calculated based on its weight and is applicable only for items measured in kilogram.
Item Tags - To categorize the individual items under certain tags that the item belongs to. For exmple, apple belongs to perishable tag.
Perishable - Items like Fruits & vegetables, meats, fish, poultry, and dairy which are likely to spoil or decay quickly comes under perishable tag.
Non-Perisable - Items that are processed or packaged to withstand prolonged storage comes under non-perishable tag.
Prepared Food - Food that are typically produced for immediate consumption or ready-to-eat foods comes under prepared food tag.
Instant Food - Foods like coffee or noodles that require minimal preparation comes under instant food tag.

Note: Prepared Food and Instant Food is applicable only for Restaurants and QSR.
Add Inventory - After creating the Item Variation, inventory is added. Press Add Inventory button.




Pricing Type: Select pricing type from the dropdown:
Fixed: Fixed pricing, selling price cannot be changed during sale in POS.
Variable: Variable pricing, selling price can be altered during sale in POS.
Multi: Item can have multiple pricing. Refer Price Categories for more information.
Buying Price: Buying price of the item variation.
MRP: MRP of the item variation.
Selling Price: Selling price of the item variation in the store .
Selling Taxes: Tax component of the item variation.
Buying Taxes: Some items have different selling and buying tax. In that case, buying tax component is selected.

Note: When buying and selling taxes are the same, selecting only the Selling Taxes is recommended. When buying and selling taxes are different, selecting both Selling and Buying Taxes is recommended.
Track Inventory: Enable the checkbox to track the inventory of the item when sold, returned and purchased. If no tracking is needed leave it unchecked.
Stock: Available quantity of the item.
Low Stock Alert: Enter the quantity when low stock has to be indicated. In our case, we have set this count to 5, if the stock count reaches 5 and below. It will be displayed as below.
Is Available: Enable the check box to display the item in your online store. If "is available" is disabled, the item will be restricted to get displayed in online store.
Track Online Inventory: Enabling track online inventory helps you to track real-time inventory stocks for your online store. If the stock goes to "0" or below, the will be shown as "out of stock".
Update Stock Price: To change the price of your current inventory and also the price of all the batches corresponding to that item.




Item UOM



Unit of Measurement(UOM) is the unit used to measure the quantity of an item.

Example : 1 can of Coca Cola 250ML, the UOM is Piece/Count where a can is referred to as piece irrespective of its weight/volume. Coca Cola 250ml is sold in pieces.

Alternate UOM



Items are bought in pieces, weight, volume, case, carton, etc. UOM is used when items bought and sold are in same unit of measurement. Alternative UOM is used when items bought in one UOM and sold in different UOM.

Example: 1 case of Coca Cola contains 24 cans. Bought as a Case and sold as a Piece. Here the UOM is Piece/Count and alternate UOM is Case. When 1 case is received, the inventory is added with 24 pieces.

Warning: UOM is applicable during sale and alternate UOM is used while receiving the stock through PO. That is, Coca Cola is bought in Case (alternate UOM) and can only be sold in Piece(UOM).

Unit Of Measurement: Count (Sold in pieces).
Apply Alternate UOM Qty: Tick this checkbox to enable alternate UOM.
Alternate UOM: Carton (Name for the Alternate UOM).
Alternate UOM quantity: 20 (Number of pieces available in one Carton).



Primary Variation



To indicate the item is a primary variation. Stock can be transferred from primary variation to child variations. Primary variation UOM should be in Weight or Volume. Refer Attributes for more information.
